When Should You Hire a Wedding Planner in Perth?

A few weeks after getting engaged, most couples start to feel a quiet pressure to get things moving. Friends ask about dates, venues come up in conversation, and someone usually mentions a wedding planner. With it comes a question that doesn’t have an obvious answer. Is it too early to bring someone in? Should we book the venue first? Or is a planner something people only look for once it all starts to feel like too much?

Most of the advice online gives you a number of months and very little else. But two couples marrying on the same date can need completely different things, at completely different times. The right time to bring in a planner depends far less on how far away your wedding is, and far more on what you’d like help with.

The short answer

If you’d like help with the decisions that shape everything else, such as the venue, the size of the guest list and how the budget is structured, the right time is before those decisions are made. For most couples, that means within the first couple of months of being engaged, and ideally before any contracts are signed.

If you’re confident in those decisions and would most like someone to bring everything together, look after the design or take care of the day itself, bringing someone in later works perfectly well. That isn’t a lesser version of having a planner. It’s a different kind of support, suited to a different stage.

The one thing worth knowing is that a planner can step into almost any stage of your planning, but they can’t go back and reshape a decision that’s already been signed.

What a planner actually does before the venue is booked

Choosing a venue looks like a decision about a beautiful space. In practice it decides a great deal more: which suppliers you’ll need, how many guests you can comfortably host, what happens if the weather turns, how late the celebration can run, and how much of your budget is committed before anything else has been decided.

Most couples compare venues by how they look in photographs and how they feel on a site visit, and both matter. But the details that shape how a day actually runs are rarely obvious until you’ve seen a lot of weddings come together. How guests move between the ceremony and reception, whether there’s enough power for the lighting you have in mind, how early suppliers can get in to set up, and where everything goes if it rains. None of these questions are difficult on their own. The challenge is knowing to ask them before you’ve fallen for a venue, rather than after the deposit has been paid.

That’s where bringing a planner in early earns its place. We help you work out what you need from a venue before you start looking, build a shortlist that suits the wedding you have in mind, walk through spaces with you and go through the contracts, then plan everything else around what that venue allows. Our Perth wedding venue guide is a good place to start if you’d like a sense of the options.

It also means the design starts in the right place. When the look and feel of the wedding is developed alongside the venue choice rather than after it, the two work together, instead of the styling working around the room.

What the first few weeks with a planner look like

It usually begins more simply than couples expect, with a conversation. Before anything is booked, we take the time to understand what matters to you both, how you’d like the day to feel and roughly how many people you imagine being there. Nothing needs to be decided yet.

From there, a shared Pinterest board and a creative consultation turn early ideas into an overall direction, and we give guidance on structuring your budget so it goes to what matters most to you. Then the venue search begins, with a considered shortlist and site visits together. Once the venue is chosen, the rest of the vendor team follows, each booked with a brief that reflects the wedding as a whole.

What changes if you wait

There’s nothing wrong with bringing a planner in later, and plenty of couples do. But it’s worth being honest about what’s different.

A planner who joins at the beginning shapes the venue, the budget and the vendor team. A planner who joins later inherits all three. That’s rarely a problem, but the role shifts from shaping the wedding to bringing together what’s already been chosen. It shows most in the design. When suppliers are booked before there’s a clear direction, the result can be a collection of good individual choices rather than one connected whole. It can still be pulled together, but it takes more adjusting.

What doesn’t change is the day itself. Whether we’ve been part of your planning for eighteen months or twelve weeks, a wedding day with a planner looks much the same: everything confirmed, everyone working from the same plan, and the two of you free to simply be present.

The three points at which most couples get in touch

Soon after getting engaged. Usually before the venue is booked, and often before a date is set. This is where Full Planning + Design fits best, because there’s the most to shape and nothing yet to work around.

Once the venue is locked in. The biggest decision is made and everything else is opening up. Full Planning + Design regularly begins from here, while Styling + Management suits couples who’d rather keep hold of the planning themselves and have us take care of the design and the day.

Once the major bookings are done. What’s left is the coordination, which is often the most time-consuming part. We’ve covered this stage in Is It Too Late to Hire a Wedding Planner?, but the short version is that it rarely is, and Handover + Management was designed for exactly this point.

If you’re not sure whether you need a planner, a stylist or someone to coordinate the day, it helps to understand the difference between the three, because that often decides the timing as well.

Why timing works a little differently in Perth

Perth has a smaller pool of wedding suppliers than the eastern states, and that includes planners. A planner can only be at one wedding on any given day, and we take on a select few weddings each season so every couple has our full attention.

This means the most popular dates go first. An autumn or spring Saturday is in demand with every supplier at once, so if you have your heart set on one, it’s worth getting in touch earlier than you might think. A winter date or a weekday gives you more flexibility. We’ve written more about this in the best time of year to get married in WA.

The same applies, even more so, outside Perth. A Margaret River or South West wedding draws largely on the same Perth suppliers, with travel, accommodation and guest transport added, which tends to bring every booking forward rather than push it back.

A few signs it’s worth starting the conversation now

You’re considering a marquee, a private property or an empty space. Almost everything a venue would normally provide has to be organised separately, and support from the start saves a lot of going back and forth.

You’re planning from somewhere else. If you’re interstate or overseas, or simply don’t have time to visit venues and meet suppliers, having someone on the ground in Perth makes the whole thing far more manageable.

Every decision seems to be waiting on another one. If the date is waiting on the venue, the venue is waiting on the guest list, and the guest list is waiting on a conversation nobody has had yet, that’s usually the clearest sign of all.

Where to from here

There’s no wrong time to hire a wedding planner, only stages where a planner can help with more or with less. Knowing which stage you’re at makes it much easier to see what kind of support you’re looking for.

If you’re looking at a popular Saturday in autumn or spring, an early conversation usually makes the venue decision easier rather than adding another step to it. And if you’re not sure where you sit, that’s exactly what a first call is for. We’re always glad to hear where your planning is up to, or you can read more about how we work and what each service includes.

How far in advance should you book a wedding planner in Perth?

If you’d like help choosing your venue, as early as you can, ideally before it’s booked. For a popular autumn or spring Saturday, that often means twelve months or more ahead. If you only need help with the design or the day itself, a few months out is usually enough.

Not necessarily. A season is often a better starting point than a date, because the date usually depends on which venues and suppliers are available. A rough time of year and guest count is plenty to begin with.

Often, yes. A smaller guest list doesn’t always mean fewer decisions, and intimate weddings in private homes or unusual spaces can need just as much coordination. The right level of support depends on what’s left to organise, not the number of guests.
